
Basic Publishing Process
Writing to publish a document involves a series of steps. Every step is equally important to create a beautiful final product!
See the persons involved in each step and what they do:
- AUTHOR or WRITER writes the manuscript.
- EDITOR (Development editor) checks the manuscript for accuracy in subject matter, theory, and facts. The editor can change, delete/add text to suit the intended audience and ensure correct writing style and length.
- COPY EDITOR does NOT edit subject matter but confirms the content aims at the audience and is written consistently and according to guidelines.
- PROOFREADER carefully checks the final copy before printing and ensures accuracy and consistency in spelling, grammar, punctuation, spacing, page structure, typography, font type and size, headings, captions, and house styles. It is a job that cannot be hurried.
- PRINTER prints the proofread document.

EDIT & READ COPY EDITING AND PROOFREADING SERVICES WILL NOT:
- Write or rewrite to avoid plagiarism.
- Rewrite or major (macro) edit any part of the document.
- Change or alter the subject matter, the report's argument, or add new content.
- Cross-check references with their (original) sources.
- Rewrite the report to match any assessment criteria.
- Summarize the text.
- Add or delete words to change the word count (a slight change of the word count may occur during copy editing).

COPY EDITING
A manuscript is copy-edited after major editing.
- Check whether the document follows the style guide.
- Ensure the manuscript structure is in a logical order.
- Ensure the document targets the intended reader and is written with appropriate sentences to transmit the message clearly.
- Ensure the writing style is clear and concise with accurate sentences of the correct length.
- Check for jargon and clichés.
- Produce a query sheet to the author about possible legal issues concerning copyrights and trademarks.
PROOFREADING
Proofreading is performed with the final copy.
- Check and correct errors in spelling, grammar, punctuation, and typos.
- Check for inconsistencies in font style, headings and subheadings, bullet style, page numbering, and line spacing.
- Ensure the document is designed according to the style guide.
- Check and avoid 'widows' and 'orphans' in the document.
- Cross-check in-text references with bibliography and table of contents with the text.
- Cross-check captions on figures, tables, and illustrations.
- Check document structure – header and footer notes, tables, images, bibliography, appendices, contents.

SENDING AND RECEIVING DOCUMENTS
Please email your document via proofreading@editandread.com as a WORD document.
Track changes (free) option:
WORD documents will be proofread and copy-edited with Microsoft Word’s ‘track changes’ tool and
returned to you online as two files; one showing the changes and the other a final clean copy with all changes made.
This allows you to identify the changes made and decide whether to accept or reject the changes.

Within 3-10 working days (or less depending on the document length).
Sending your document:
To discuss your project, email proofreading@editandread.com with the following information in the email body.
- Type of document - Thesis, Handbook, Textbook, Research paper, Journal article, or Manual.
- Word count - In an MS Word document, the word count is displayed at the bottom of the computer screen.
- The date you need the document back / deadline - When deciding the date, please consider the additional time you need to re-read, print, and bind the report before submission.
- Writing style (optional) - Please specify if you want US or UK spelling.
Brief:
The BRIEF is a mutual agreement between the client and the service provider. It provides information on the type of service you need, writing style, deadline, charges, how to make payments, and contact information.
All work will be carried out according to the information in the BRIEF.
Advance payment:
A 40% advanced payment should be made to start working on your project. The rest can be paid before final submission.
BRIEF
The BRIEF contains the following information.
- List of materials you supplied.
- Manuscript
- Title of the document.
- Filename(s) you used.
- Word count.
- Style Guide: You can mention the writing style: e.g., Harvard style, APA style, MLA style. For a journal publication, you may send the author instruction sheet given by the journal. If no style guide is provided, the existing style of the document will be used.
- List of any missing material (any material not included presently but will be provided in the future).
- What material is missing?
- When and how will it be supplied?
- Your instructions regarding the nature of the service required.
- The date you prefer to have the document back (when deciding the date, please consider the additional time required for you to re-read, print, and bind the report before submission))
- Your final deadline for submission.
- Track changes option (free): Yes / No.
- Agreed fees.
- Total cost.
- Payment method: Western Union / Direct bank transfer.
- Images (if any): Mention whether there are any copyright issues.
- Constraints (if any): Time, missing material, or any other problems.

Prices
These rates are only a guide.
Copy editing and proofreading services are typically rated on a 'per word' basis.
Word count (total number of words of the original document) can be obtained easily from MS Word.
Copy-editing and Proofreading charges
- By the word count:
- For a total word count up to 1000 words: 10 USD (minimum charge) per document.
- For a total word count from 1001 to 20,000 words: 15 - 20 USD per 1000 words.
- For a total word count over 20,000 words: 12 USD per 1000 words.

Payment
When I receive your document, I will send you the BRIEF. Check its content and let me know if you require any changes.
If the BRIEF is okay, kindly make the full payment to the bank (details provided in the BRIEF) to start working on your project.
If the total word count exceeds 20,000 words, you can make a 40% advanced payment. You may pay the balance before the final submission.
Direct bank transfer is a secure payment method. Since the bank informs me immediately once you make the payment, I can start your work without any delay.

- Please provide clear and accurate instructions regarding the work and your contact information when placing an order.
- The document you send for proofreading and copy-editing should be a Word-processed manuscript.
- Please ensure the accuracy of data, theories, arguments, and subject matter before submitting the document for proofreading.
- After placing the order, if you want additional work, we can renegotiate the fee and the deadline .

- EDIT&READ copy editing and proofreading services will not be responsible for any damage or loss of material during online transactions. However, care will be taken to transmit your document safely.
PRIVACY TERMS
- Content of the work is strictly confidential and not given to any other party without prior written permission from you.
- All records on your document will be deleted after completing the work and payments to ensure the confidentiality and security of the document information. Therefore, if you need to do anything more with your document, please inform me within two weeks.
